GST Calculator in Excel: Free Template Download

One sheet works out a full bill with CGST and SGST or IGST. A second one adds or removes GST from a single amount. Free, and no sign-up.

GST calculator template (.xlsx)

Two sheets, rates as per GST 2.0, no macros. Made for Microsoft Excel; Google Sheets can open it as well.

Plenty of shop owners and freelancers still do their GST hisab in Excel, and honestly that makes sense. The file sits on your laptop and works without internet. You can also bend it to fit your own way of billing. So we built a clean template with the formulas already in place. You type the item, quantity, rate and GST slab. Excel does the rest.

What's inside the file

The first sheet, GST Calculator, is an item table. Each line works out its own taxable value and tax, and a totals row at the bottom adds everything up. At the top there's a Supply Type cell. Leave it on Intra-state when you and the buyer are in the same state, and the tax splits into CGST and SGST. Switch it to Inter-state and the same amount moves into the IGST column. The GST % column is a dropdown with the current slabs: 0, 0.25, 1.5, 3, 5, 18 and 40.

Three sample lines are filled in so you can see it working, followed by 15 blank rows that are already formatted. Yellow cells are for typing. Grey cells hold formulas, so it's best to leave them alone.

The second sheet, Add-Remove GST, is for quick one-off checks. Put in a price before GST and it shows the tax and the total. Or put in an MRP or a bill amount that already includes GST, and it pulls out the price before tax along with the GST hidden inside.

How to use it

  1. Download the file and open it in Excel. If a yellow bar says "Enable Editing", click it.
  2. Set Supply Type (cell B4) to Intra-state or Inter-state.
  3. Delete the three sample lines, or just type over them.
  4. For each item, fill in the name, quantity and rate per unit, then pick the GST % from the dropdown.
  5. Read the bill total and total GST at the bottom. Use File → Save As to keep a copy for each bill.

Need more than 18 lines? Insert new rows above the TOTAL row and copy a filled row down into them. Rows added inside the table are picked up by the totals automatically.

The formulas, explained

Nothing fancy is going on here. Taxable value is quantity times rate. GST is the taxable value times the slab, divided by 100. For a sale within your state that GST is cut in half, one half CGST and the other SGST. Here's what sits in row 7 of the sheet:

Taxable value (D7): =ROUND(B7*C7,2)
CGST (F7) and SGST (G7): =IF($B$4="Intra-state", ROUND(D7*E7/200,2), 0)
IGST (H7): =IF($B$4="Inter-state", ROUND(D7*E7/100,2), 0)
Line total (I7): =D7+F7+G7+H7

The real cells also have a small check that keeps a row blank until you type something in it. Dividing by 200 is simply "divide by 100, then halve it". Every tax figure is rounded to paise on its own, which is how most billing software does it too.

Removing GST is the one people get wrong. If ₹1,180 already includes 18%, taking 18% of ₹1,180 gives you ₹212.40, which is too much. You have to divide instead. The Add-Remove sheet uses:

Price before GST: =ROUND(Total*100/(100+GST%),2)  ·  GST inside: =Total − Price before GST

So ₹1,180 at 18% gives ₹1,000 before tax, and the GST inside was ₹180. Want the same formulas explained in more depth? Our GST formula guide covers each one.

Worked example: a small shop in Pune

Say a general store in Kothrud sells these three things to a customer from Pune itself. Both sides are in Maharashtra, so Supply Type stays Intra-state. These are the same numbers you'll see in the sample lines when you open the file.

ItemQty × RateTaxableGST %CGSTSGSTTotal
Packaged namkeen20 × ₹45₹900.005%₹22.50₹22.50₹945.00
Cotton kurta2 × ₹1,200₹2,400.005%₹60.00₹60.00₹2,520.00
Mixer grinder1 × ₹2,800₹2,800.0018%₹252.00₹252.00₹3,304.00
Total₹6,100.00₹334.50₹334.50₹6,769.00

Total GST on the bill comes to ₹669. The kurta is at 5% because each piece costs ₹2,500 or less. Price one at ₹2,600 and that line would need 18%.

Now suppose the same order is couriered to a buyer in Surat, in Gujarat. Flip B4 to Inter-state. The CGST and SGST columns drop to zero and IGST shows ₹45, ₹120 and ₹504 on the three lines. The tax is still ₹669, and the bill total doesn't move.

To check the reverse, open the Add-Remove sheet and type ₹3,304 as the inclusive total at 18%. It gives back ₹2,800 as the price before GST, with ₹504 of GST inside. That's the mixer grinder line, worked backwards.

Rather skip Excel?

On your phone, the online tools are quicker. The GST calculator handles a single amount with quantity and discount. For a bill with many items at mixed rates, the multi-item GST calculator does the same job as this sheet and can save a PDF summary. Got an MRP to break up? The GST inclusive calculator removes the tax in one step. And if you're not sure which slab your item falls in, start with our GST rates 2026 list.

Frequently Asked Questions

Is the Excel template really free?
Yes. There's no sign-up and no email needed. The file has no macros, so Excel shouldn't show a macro warning when you open it.
Can I open it in Google Sheets?
Upload the file to Google Drive and open it with Google Sheets. It uses only standard formulas and dropdown lists, so it should carry over. Do check the totals once after converting.
The dropdown won't let me type 12%. Why?
12% and 28% are old slabs. After 22 September 2025 most items moved to 5% or 18%, so the list only offers current rates. If you're redoing an older invoice, select the GST % cells, go to Data → Data Validation and add 12 or 28 to the list.
Can I use this sheet as my GST invoice?
It's a calculator, so no. A tax invoice also needs your GSTIN, an invoice number, HSN codes, place of supply and the other details GST rules ask for. Use the sheet to work out and check the numbers, then raise the invoice from your billing software.
Why are CGST and SGST rounded separately?
Each tax head is shown on its own on an invoice, so each one is rounded to paise on its own. On odd amounts that can make the total differ by a paisa from rounding the full GST once. Both ways are common; just stay consistent.

This template does the arithmetic. It doesn't decide which rate applies to your item, so check the HSN or SAC rate before you bill. General information, not tax advice.
